The role and opportunity
We are seeking a highly organised and proactive Executive Assistant to join our Information Technology team and provide assistance to our Finance and Legal teams.
Supporting two senior leaders – the Director of Information Technology and Property and the Director of Finance– you’ll play a key role in ensuring their time is used effectively and efficiently.
You’ll manage a wide range of administrative and executive support functions, including diary and email management, meeting and travel coordination, preparing high-quality documents and reports, and facilitating communication across AgResearch and with external stakeholders.
This is a busy and varied role that requires professionalism, discretion, and a strong customer service mindset.
This is a 12-month fixed-term role based at our Tuhiraki campus in Lincoln.

What you will be doing
- Providing high-level executive support to two Directors, including calendar, inbox, travel, and meeting coordination.
- Drafting and managing correspondence, agendas, board and committee papers, and minutes with accuracy and discretion.
- Acting as a key point of contact within the organisation and with external stakeholders.
- Assisting with projects, research, and preparation of briefing materials and presentations.
- Supporting governance-related responsibilities, including Senior Leadership Team and Board committee logistics.
- Providing support to the Directors' direct reports and teams, including meeting coordination, travel, and providing support with contract and expense systems.
- Playing a key part in AgResearch’s network of Executive Assistants, contributing to shared practice and improvement.

Your ideal background
You are an experienced Executive Assistant who thrives in a dynamic, fast-paced environment. You’re someone who anticipates needs, enjoys solving problems, and builds trusted relationships at all levels of an organisation.
- A qualification in Business Administration or equivalent relevant experience is desirable.
- Proven success providing executive-level support in complex environments.
- Outstanding communication skills, both written and verbal – with excellent attention to detail.
- Tech-savvy and confident using Microsoft Office and digital tools to improve efficiency.
- Sound judgment, integrity, and the ability to manage sensitive information with discretion.
